If you are going to charge for the service using your own billing system, then below are the typical workflows for doing so
Typical workflow to manage paid subscriptions
Add a new user to the system
- Setup person in invoicing system for regular payments
- Add individual user into Cerebrocore with a ‘free’ subscription
If a user wishes to cancel their subscription
Scenario 1: user calls office to cancel subscription
- office admin stops invoicing for that user
- office admin disables user’s account in Cerebrocore
Scenario 2: user cancels subscription from their Cerebrocore dashboard
- Cerebrocore sends email to office admin that they cancelled their subscription
- office admin stops invoicing for that user
- office admin disables user’s account in Cerebrocore
If a user fails to pay invoice or their automatic payment fails
- someone needs to notify the user of the payment issue
- if the issue isn’t resolved
- office admin stops the invoicing for that user
- office admin disables user’s account in Cerebrocore

- – at this point the system is ready for you to create free subscriptions for users
- – setup account with Stripe to process payments
- – link Stripe account to your CerebroCore account
- – configure the subscription information (signup fee, monthly recurring fee)
- – start sending out invitations to signup for a CerebroCore subscription
Typical workflow to manage paid subscriptions
Add a new user to the system
- add individual users or a list of users to the system to send invitations to signup for a CerebroCore subscription
- the system sends out invitations to all of the users with a summary of Cerebrocore and a link for them to signup
- the user enters their credit card information during signup
- Stripe charges their credit card for the signup fee and automatically charges them every month while they have the subscription
- the Stripe account belongs to you so the money will automatically be transferred to your bank account
If a user wishes to cancel their subscription
Scenario 1: user calls office to cancel
- an office admin can cancel their subscription for them in the CerebroCore admin – one step to cancel payments and disable the account
- or they can direct them toward the FAQ on how to cancel their subscription themselves
Scenario 2: user cancels subscription from their Cerebrocore dashboard
- the CerebroCore Payment system cancels the monthly charges in Stripe and disables their account in Cerebrocore
If the user’s monthly payment fails
- the CerebroCore Payments sends an email to the user that their payment failed and sends a courtesy notification to the office admin
- The payment system also disables their subscription, which disables all functionality but still allows them to login and change their payment method if necessary
- if the user updates their payment information, or resolves the issue with their current payment method, the Cerebrocore Payment system charges them through Stripe and re-enables their subscription
